Business Meeting - December 17, 2002 - Guthrie Public Library
In Attendance : Cathy Blackman,

The meeting was called to order by Melissa at 1:30 pm.
I. Conference Plans
Paper and poster sessions - Charles Brooks needs to be
contacted to see if all of the paper sessions and Faculty
Relations session can be held in the same room so we will only
need one laptop and projector which will be provided by David (OSU).
All paper presenters will be asked to send their presentations
electronically to David so he can have them loaded onto the
laptop.
Buried Treasures - Brad Robinson of the Institute for the
Prevention of Terrorism, Christi Ballard of the Oklahoma City
Museum of Art, and Marilyn Ogilvie of the History of Science
Collections at the University of Oklahoma have all agreed to
participate in the session. Each of the speakers needs to be
asked to bring visual aids.
Library Interior Design - Sherry Young and Carolyn Hust
have agreed to participate in the panel discussion. Dr. Young
needs to be the first speaker on the panel. A potential activity
would be to rearrange the room to demonstrate the principles of
feng shui. Each of us (UCD members) needs to read up on feng
shui via the web or printed materials. Joan Singleton and
Barbara King still need to be asked to participate.
Michele will secure Barnes and Noble gift certificates for Annie
Busch and Scott Goldie. Charles needs to be asked if Scott
Carter received a gift of some type for speaking at previous
workshops.
Note for future reference: If a presenter does not attend any
other sessions/portions of the conference, they do not have to
pay any registration fees. If speakers stay overnight, they can
be given a gift. If they do not stay overnight, they can be
offered a gift or honorarium.
II. Workshop updates
The workshop may be moved to Spring 2004 depending on Laura
Gassaway's schedule. The registration fee will be close to the
amount charged for a mini-conference. Cathy will look into
Amigos funding for flyers and mailing costs. Potential sponsors
of the workshop would be digitization projects in Oklahoma. Law
schools, corporate libraries, and persons that head distance
education programs need to be included in the information
mailings.
III. H.323 potential for meetings
Melissa will send a e-mail to see which colleges and
universities would like to host the meetings for their area of
the state. If more than one institution in the area would like
to host sessions, the sessions can rotate among the
institutions.
IV. January Meeting
The January meeting will be a chat session held
on Yahoo or WebCT. If we use WebCT, Melissa will send us a
password to use to participate.
V. H.323 potential for meetings
Melissa will look into how many sites can be connected during a session. During the next meeting we will consult a map of Oklahoma to determine potential sites for hook-ups to the meeting. This format may be tried for the April 2003 UCD meeting.
