Oklahoma Library Association
University and College Division

Business Meeting  |  April 2, 2002  |  Stroud Public Library

In Attendance:  Ann Blakely, TU (Chair); Cathy Blackman, Cameron; Barbara Bradley, OSU; Charles Brooks (TU); Melissa Huffman, Rose State (Vice Chair); Pat McCall, TCC; David Oberhelman, OSU (Secretary)

I. Review of Past Meetings

Ann reported that the chat room meeting for UCD in February was a success.  David is looking into a chat room for the division and possibly an OLA room for other divisions and committees to use.  The free chat services have some drawbacks such as registration requirements and unstable connections in some cases; the fee-based services are either pay-per-use or a flat fee.  Melissa has offered to look into getting a WebCT “class” site set up at Rose State for the division to use in chat meetings.  David will report more on chat rooms for UCD and OLA in future meetings.  Ann encouraged the division to explore ways to do electronic meetings in order to increase participation for members who might not be able to travel.

II. OLA Conference Plans

A. Volunteers to help at UCD programs

Ann told the group that Retha Robertson (OCU) would be on-hand at the conference to help out with arrangements.  Pat and Cathy volunteered to help out at the preconference program on Reorganizing Libraries co-sponsored with OCALD as necessary.

B. Buried Treasures

Speakers/collections will be Kathy Huber (Schusterman-Benson Library Tulsa), Kimberly Johnson (Rudishill Regional Library—TCCL), and Lori Curtis (TU).  Barbara reported that she had been in contact with the speakers and they were prepared for the program.  Melissa offered to assist at the program and to do a write-up on it to be published in the Oklahoma Librarian.

C. Recruitment and Retention Program (Pat Wagner)

Cathy will be in attendance at the workshop and Retha will also be available to help.  Sheila Johnson (OSU), Administration Roundtable chair, is taking care of the arrangements for Pat Wagner’s travel and accommodations in Tulsa.

D. Poster and Paper Sessions

David and Barbara reported that they and Tom Messner (NSU-BA) will take care of moderating the juried paper presentations and the poster sessions.  David will send out a message to presenters asking them if they would be willing to have their presentations published in the Oklahoma Librarian or made available in some other format (UCD web page, etc.).

E. Basket for Silent Auction

Ann reminded the group that UCD is preparing a baseball themed basket for the silent auction charity fundraiser at Conference.  She will get Tulsa Drillers tickets and Elaina Stewart (OPSU) is preparing the basket.  Donations such as books on baseball, tickets to the Redhawks, certificates for Mickey Mantel’s Restaurant in Bricktown, and other baseball-related items are wanted.  Those interested in contributing should contact Elaina at estewart@opsu.edu.

F. Banquet

Charles, who serves on the Local Arrangements Committee, reported that the banquet at Conference will be a barbeque with the silent auction, door prizes, a birthday cake for OLA’s 95th birthday, and Gene McFall doing a Will Rogers show.

III. May Workshop, “Help Wanted: Librarians!  How to Successfully Recruit and Be Recruited in a Time of Librarian Shortage”

Ann showed the group the flyer that was ready to be sent out for registration.  The workshop will be at the Tulsa Community College West Campus on May 15 from 8:30 to Noon.  The workshop will feature a keynote address by Debra Engel (OU); a panel of administrators discussing what employers want in a librarian and how we can improve our recruiting processes: Ellen Duecker (TPS Library Director), Danny Wallace (OU-SLIS Director), Steve Locy (Asst. Head, Humanities-Social Sciences Division, OSU), and Shawna McConnell (Personnel Director, TCCL).  There will also be a panel of librarians at various stages in their careers discussing what they want in a position:  David Oberhelman, Deanna Tirrell, and Melissa McWilliams.

Ann explained that she was going to make the panel discussions question and answer sessions, so she asked for the membership for questions to ask of both groups.  Please email the questions to her at ann-blakely@utulsa.edu.

Melissa came up with the idea to do on the spot polling at the workshop using a set of clickers Rose State had obtained for use in its bibliographic instruction sections.  The system includes 48 clickers with buttons for different responses (A, B, or C) that transmits to a central unit that tallies the results.  She will look into getting additional clickers if necessary and Ann will work on possible poll questions to ask during the workshop.  Pat and Ann will arrange the coffee and other refreshments.  Cathy and Pat offered to help with the registration table.

IV. LED, UCD, TESRT, PLD, and Ethics Mini-Conference, “Celebrating the Web.”

Charles gave and update on plans for the Mini-Conference to be held July 30-31 at Rose State.  UCD is sponsoring sessions on licensing databases (Sheila Johnson, OSU, will be contacted to speak), access issues & proxy servers (Jon Woltz, SWOSU), and e-collections (Beth Freeman, OSU-Tulsa, will be contacted to speak).  Charles reminded the group about plans for the workshop and discussed ideas for marketing the conference including a surprise skit at the OLA Conference General Session; details withheld or else it will not be a surprise! J.  He then referred us to the conference website for more information and a preliminary program:

V. Other Business

Ann thanked the division members for their hard work over the year and for all their ideas.  She asked the group to give Melissa, the chair-elect, ideas about future workshops and programs.  One idea Ann suggested was to follow-up on the original plan for a workshop or Conference program on copyright with a nationally known speaker such as Laura Gassaway.  David suggested a program for Conference on faculty status for librarians at different academic libraries in Oklahoma.  Other ideas will be discussed at the next meeting.

No meeting before Conference or the May 15 workshop was scheduled, but Melissa will be contacting the membership for the first meeting of the 2002-2003 year.

Respectfully Submitted,
David Oberhelman
