Cathy called the meeting to order at 1:30.

Update from the Executive Board “Call for Papers” discussion

Cathy met with the Executive Board and explained our plans for a “Call for Papers”. After discussion, the Executive Board did not think that this was something that OLA would be prepared to implement for this year’s conference. There are still issues surrounding who would be allowed to submit papers and if submissions would be restricted to OLA members that need to be worked out before this could be implemented.

Conference Programs

Paper & Poster Sessions

It was suggested that UCD look at having two papers per session rather than three. This will give people more time.

The question was raised if it would hurt anyone’s personal feeling if we had to turn down papers. David said that there will be some people emphatic about having their paper accepted. Linda and Michele asked if perhaps that could be avoided if we created a really good set of guidelines for paper submissions. David suggested Charles could update the web submission form to reflect the guidelines emphasizing the time limitations.

Cathy asked how many time slots we should plan on for sessions. She mentioned in the past we have generally had 10 – 12 paper submissions and 10 poster session submissions. She asked for people to head the subcommittees for these two areas. Christina volunteered to chair the paper session subcommittee and Michele agreed to chair the poster session subcommittee.

David asked if the poster presentations were going to be in their own room this year. Cathy was unable to bring it up at the last program committee meeting and said she will bring it up at the next meeting. Linda asked about having the posters displayed in the room(s) where the UCD papers sessions were going to be held. This could be attractive to Kay Boies because there would be no additional room rental for just the poster presentations. We could also look at having all the poster sessions in one day.

Cathy asked if we should only accept “academic” papers or if we would also accept “hands-on” papers. Evlyn moved that we accept only academic papers and Melissa seconded the motion. Cathy suggested creating a form letter that could be sent to people submitting “non-academic” papers giving people other options for submission such as a poster session.

RFID

Cathy asked everyone for input on the RFID session. It was agreed that the session should cover the institution’s experiences but also include information on special issues such as social impact and various challenges.

Buried Treasures

Cathy asked if we should include museums in the UCD Buried Treasures session. Linda suggested that perhaps if museums are included they should have archives or libraries as part of the institution. Evlyn mentioned that there was a new museum of Higher Education that was opening in Oklahoma City that might be interesting. It was suggested that maybe we contact institutions that are closer to Tulsa since the conference will be in Tulsa. After some discussion, Gina said that she would contact the Tulsa Zoo and Oklahoma Aquarium to see if either had a research center or was involved with lending or outreach. Gina also said she would contact Linda Saferite at Tulsa City-County Library and see if she would like to highlight another one of their resource centers.

Before moving on to the next agenda item, Evlyn asked if she could get feedback on her idea for a conference program. Her institution is just beginning Federated Searching and she was wondering if this topic was of interest to others. Michelle thought that SIGALO (Serial Interest Group for All Libraries in Oklahoma) was going to be using this as their fall workshop topic. Christina and Gina mentioned that each of their institutions was beginning to work with Federated Searching.

Unfortunately, Evlyn dropped from the video call at this point and was not able to reconnect.

Knowledge Management Seminar

Cathy said that she had been sent the flyer for the “What is Knowledge Management?” seminar by Dr. Hawamdeh. It appears that this seminar only is scheduled from 9:00 to 12:00. At the previous meeting, the group had planned on the seminar to last until 3:30. Gina volunteered to get in touch with Dr. Hawamdeh and verify that this session only lasted until 12:00 and see if he had any ideas of how to fill the extra time. Gina also agreed to confirm the $11.00 per person fee at the Skelly Drive Best Western in Tulsa. Cathy will forward the KM flyer to the group for input.

Next Meeting

The next meeting will be a face-to-face meeting on Tuesday, September 6 at 1:00p.m. It will be held in the McFarlin Library Administrative Conference Room at the University of Tulsa.

It was agreed that perhaps some additional testing was needed before holding our next video conference.
