Present: Ellen Duecker, Margo Canaday, Yvonne Grady, Carrie Fleharty, Jeanne Bishop, Jayme Seat, Kay Boies, Barb Pfrehm, Jeanie Johnson, Carol Fox, Buffy Edwards, and MaryAnn Robinson.

Call to Order: Ellen Duecker called the meeting to order.

Secretary’s Report: Minutes were submitted by Carrie Fleharty. The minutes were amended then approved and seconded.

Treasurer’s Report: There was no report. Yvonne Grady hasn’t been able to contact Dr. Sue Jenkins.

Reports:

Kay Boies gave us the happenings of OLA. Charles Brooks will be the new webmaster. There are two workshops coming up, the Sequoyah YA and the OASLMS workshop. It was reported that 48 had signed up for Sequoyah. The OASLMS workshop has had some non school librarians to attend. There is the 1st ever Support Staff 1 day conference on how to have fun while working on August 21st. This was mainly sent to Public and Academic library directors. At Encyclomedia we will need booth workers. CATS will have an Early Childhood workshop in November. December 10, 11, & 12 there will be a Copyright Workshop with Laura Gasaway at Rose State College. November 6th 7th will be the 1st Amendment Congress and they want students and teachers. They will pay for a substitute and Bus drivers. Essay contest will also be held for students, and the topic will be about Homeland security. Regional meetings will be held October 7 at Vinita, October 14, at Bartlesville and November 18 at Woodward.

Jeanne Bishop reported on the Awards. There are three Polly Clarke nominees, two administrator nominees, and one Barbara Spriestersbach nominees.

Bette Estes-Rickner will be the legislative person.

P.R. Committee reported from Mary Ann Robinson. There are webpage problems, and a discussion followed about the mission of the webpage. There were some discussions about the best way to change and update the webpage. AASL wants a link to their webpage, and something about our program. E-mail Kay of any and all changes. The masthead needs to reflect the new officers. It was then decided to stay a few moments later to hash out the webpage problems.

AASL Report: Buffy Edwards sent around the resolution about recognizing the importance of school librarians. Need to figure out how to get that resolution to our state legislatures, administrators. Should it be a local effort or an official mailing? The resolution basically stated that School Libraries and librarians are critical to the educational success.

Buffy also gave us information about the 123 Energy! workshop coming up August 5th in Stillwater. Needed help at registration and to fill packets. There was a discussion about lunch. The registration form needed to have a lunch option. It was finally decided to have a meat and cheese lasagna. The organization would buy pop and snacks.

Carol Fox gave a report on the Encyclomedia Social. The Brewery was booked from 4:30-6:30 and the menu would be making your own fajitas with chips, salsa, and Queso. No tickets given out to attendees, names will be on a list and Kay and help will check off your name at the door. There will be a few tickets available at the booth.

Booth workers needed, and we need to get moving on the Auction.

The business meeting will be held in Room 21.

Door prizes will be given at Encyclomedia.

Statistic Gathering Information: The discussion followed about how to make us more visible. Jeannie Johnson would like to start using data as a tool to provide information on just how important school library media specialists are. What kind of statistics do we need to ask of our state’s library media specialists? The state department would like information concerning staffing, # of students # of professional staff, # of library staff, instructional time, collaboration time, the use and availability of the library and it’s materials, and the average age of the collection (fiction/non-fiction). Can we obtain 3 months of information?

We decided to check on the Colorado Study and see what legally we can use from it, and if there is a financial fee?

Ellen reported that she has requested a partial funding from OLA for 2 people to attend ALA, and 1 person to attend National Legislative Day.

A membership survey was suggested to find out why members are members and why they aren’t. Buffy would be in charge of developing such a survey. It is important that we gain memberships.

OLA Conference Change is actually April 14-16, 2004.

Need a sign at the OLA Booth stating what sessions OASLMS is sponsoring.

A change will need to be made on the April 6th meeting to 2:00 p.m.
