OLA 2020 Annual Conference FAQ for Registrants

Why was conference rescheduled, not canceled?


The annual conference is the largest revenue generator for OLA. The Executive Board strongly believes rescheduling conference, rather than canceling, is the fiscally responsible option for the organization. We appreciate everyone’s willingness to remain positive and supportive as OLA continues to work on providing quality professional development to our members.

Will my registration automatically be switched over to the new conference date?

Yes! All registrations for the April conference will be transferred to the July dates. We understand that the new dates may conflict with your schedule, so if you are unable to attend, please contact ola@amigos.org by June 30, 2020.

What is the cancelation/refund policy?

All registration cancellations and refund requests for the 2020 Oklahoma Library Association Annual Conference, including preconferences and meal events, must be made in writing to ola@amigos.org by Tuesday, June 30, 2020. After June 30, 2020, no requests for refunds will be accepted and no exceptions will be made to the policy. 

I can’t make it in July, but my colleague can - am I able to transfer my registration to my colleague?

Yes! Please contact ola@amigos.org to update your information.

I haven’t registered yet - can I register now?

Yes! Registration is open

Conference is now in a different fiscal year. How can I talk to my institution about the best way to pay?

All registrations are automatically moved to the new dates. Many institutions will elect to leave the expenses encumbered in this fiscal year. If this is not possible, contact ola@amigos.org for payment options.

If I can’t come in July, is there a virtual option?

We are planning for a fully in-person conference this year. As virtual options become more affordable, we will continue to explore those options for the future.

What about my hotel room?

Beginning on Monday, March 23, the Regency Hyatt will cancel all room registrations booked using the OLA conference code (either government rate or regular conference rate). Please rebook your room for the July dates. If you have any questions regarding your room booking, please contact the Regency Hyatt directly at (918) 234-1234.

What will the schedule be?

Preconferences will be on Wednesday, July 29, and regular conference sessions will be on Thursday, July 30, and Friday, July 31. We are currently working with speakers to update the conference schedule; a full schedule will be released as soon as possible.

When will scholarships be granted?

Scholarship checks will be awarded in April. All scholarship recipients will be recognized at conference in July.
